How it works
Order to operating, in five steps.
Time to value in days, not weeks or months. Here is what happens in each step, and what's required of your firm.
You build your exact quote in our configurator — 2 to 4 minutes. Pick a SKU (Tax Core or Tax Scale), pick your state corpora or bundles, set your user count, optionally add services. The quote is itemized and real.
Submit, and our sales lead reviews within 24 hours. If everything checks out, we send an online agreement with the contract pre-filled to your configuration. Sign and pay the 50% deposit; we kick off the appliance build. The other 50% comes due at activation.
We build your appliance. That means: hardware procurement (Dell Pro Max Tower T2 with the right GPU configuration for your SKU), assembly, software image, the Federal corpus and any state corpora you selected, burn-in testing, serialization, and inventory. The build runs in parallel with contracting where possible.
We ship to your office with next-business-day onsite hardware warranty coverage from day one — so any hardware fault we cannot diagnose remotely is handled by a technician on your site next business day. Your data starts on day one staying on your network: there is no upstream client-data path in the architecture.
We don't drop the appliance on your team and walk away. Training comes before doing — three short courses, sequenced to each layer of your team to deliver immediate value.
Your IT Contact completes the IT course before the appliance is installed. Your Super User completes the Super User course before the appliance is brought online for production work. Each end user completes the End User course before they get access.
It's the same self-paced curriculum, sized to the role, delivered through our learning platform. Most teams clear training in 3 to 5 business days from kickoff. We support every step.
That sequence — training before doing — is fundamental to rapid value realization of this new technology, new capability, and new way of working. It's customer protection, not gatekeeping: each layer of your team starts with a clear understanding of what the tool is and how to use it.
Your IT lead racks or places the appliance, plugs it into a standard business network (gigabit ethernet, DHCP-served, scheduled internet access for control-plane only, ad-hoc for service tickets as needed), and powers it on. Typical effort: 2 to 8 hours from arrival to network ready. Network administrators may configure LAN-side settings to resolve an appliance name to the assigned IP address. We support the install remotely with documented runbooks and on a live call if your team prefers.
The IT Stage Gate is where we hand off network-ready status: the appliance is reachable on your LAN, telemetry is flowing, the control plane is healthy, and your IT lead has signed off. From this point forward, the appliance lives on your network.
Your Super User then adds and provisions your designated users so that the system recognizes them and allows them to log on. Now it's ready to run.
Your team uses Sovixis daily. Your team accesses the Sovixis AI appliance over your LAN via any standard web browser — Chrome, Edge, Firefox, etc.
No internet required — the corpus is local, the model is local, the workflow state is local. Internet is required for control-plane signaling (telemetry, approved maintenance) and possibly future integrations, but not for the work your team does.
We handle managed update windows on a periodic cadence — public corpus updates as authorities publish, software updates as releases ship, security patches as needed. Every window is scheduled inside time you authorize in advance, with a documented rollback path. You synch or load client and firm specific data to the staging area and your appliance ingests it during off hours.
The first 30 days are hypercare — we are responsive on a tight loop to make sure your team's first month is productive. After hypercare, we move to standard support cadence with quarterly success reviews. Your client data lives on your network.

This is a standard business-network install. The requirements are bounded and well-documented.
- One standard 120V power outlet (1000W minimum capacity recommended).
- One gigabit ethernet drop with DHCP and outbound internet access.
- A rack or floor location with airflow comparable to a standard office workstation.
- An IT contact who can complete Tier 1 IT track training (~3-5 hours).
- A documented backup approach (we provide the runbook; your team adopts it).
What your IT team does NOT do
- Manage the appliance OS, software stack, or model layer — Sovixis manages all of it.
- Hold administrator credentials on the appliance — there are none for the customer side.
- Access the OS or system layer — there is no access path. The appliance is a managed black box.
- Apply patches, perform OS upgrades, or troubleshoot at the system level — Sovixis handles all of this through control-plane signaling and authorized maintenance windows.
How your team interacts with the appliance
What your Professional Staff does do
- Complete Sovixis’ professional staff user training, one to two hours, online, on-demand (and required)
- Log into the appliance via any LAN connected browser – either to a fixed network IP address, or a common name chosen by you and your IT team
- Accelerate work with safe, client aware AI, all behind your firm’s IT firewall
What your Professional Staff does NOT do
- Use internet searches to manually find tax law, regulations, and instructions.
- Paste, upload, or attempt to sanitize confidential client data for use in cloud-based AI chat platforms.
- "Test" AI by experimentation, trial-and-error, or uncontrolled use against live client matters.
- Push IT to build ad-hoc scripts, integrations, automations, and data pipelines without a roadmap.
- Guess, assume, or speculate the authority behind system-generated outputs.
The appliance exposes three interaction surfaces — and only three: a shared mapped network drive (or FTP) for moving documents into and out of governed workspaces; a user provisioning screen for adding, removing, and adjusting user access; and the application UI itself for running the governed workflows. That's it. No SSH. No remote desktop. No admin console for the OS.
The operational scope we own, end to end.
- Hardware procurement, build, and testing.
- Hardware warranty onsite (your site) coordination.
- Scheduled corpus updates as Federal and state authorities publish.
- Software updates and security patches inside scheduled maintenance windows.
- Monitoring for appliance health.
- Configuration of in-scope business processes that run on the appliance.
- Targeted integration routines to connect resources such as printers, databases, DMS, etc.
- Support response within published SLAs for software and configuration issues.
- Training curriculum maintenance and additions.
- Quarterly success reviews with your firm.
From the day the appliance arrives, your client data lives on your network. Not in our cloud. Not in someone else's data center. Not on shared infrastructure with other firms. Your data, your network, your dedicated appliance, your control. The appliance follows a managed process to ingest authorized client data into the context stage for AI inference, but it never leaves your network. There is never a question about requesting deletion, third party training, or undocumented caching in someone else’s public cloud even after removal requests were issued. And you never lose a minute of sleep worrying about it.
This is not a feature we add on top of a cloud product. It is the architecture from the first transistor. Sovixis exists because the architecture for regulated client work is on-premise — and the team that built Sovixis runs a working CPA firm where that distinction matters every day.
If your firm's diligence process requires Sovixis's security questionnaire response (SSQR), we share it after qualifying. Send a note through Contact with subject "SSQR request" and your firm name. The request runs through the standard sales-lead-review window, and we share the document under the appropriate diligence terms.
